Effective Phone Organization: Simplify Your Digital Life

Choose one system: There have literally been entire books written about the subject of filing, this is not one of them. Beautiful filing systems are nice to look at, but the trick with any organizational system is to actually use the system you created.

I have seen so many working mothers try to carry a planner, use OneNote, and also send voice reminders. This is way too many organizational tools to keep track of! Choose one and stick with it.

What I have found works well for me is to create two filing areas: one for work things and one for household things. That's it. I try to stay away from folders within folders within folders and using naming systems I can't remember. My goal is to deal with papers now or throw them out, and then move on.

Master your phone: A recent study from the Pew Research Center for the Internet revealed that American adults use only a fraction of the features on their smart phones. Sure, smart phones make it easy to organize your contacts and make calls, but what else can your phone do?

Use the mapping features: The built-in maps feature on the iPhone as well as the Google maps app include a compass, the ability to pinpoint and bookmark any address you plan to return to, and, of course, a chart of your route to any destination. If you travel or drive to new places for work, consider a phone with a GPS feature that will guide you with turn-by-turn voice directions. You can also use the GPS feature to keep track of your loved ones--especially handy with teenagers. I always know where Megan is, and this gives me a great amount of comfort.

Learn to use voice to text or email: When driving or walking, I use the voice memo feature on my iPhone to craft and return a simple email without taking my eyes or hands off the road, or losing a step in my pace. I also often use this feature to send myself simple reminders like "pick up milk on the way home." The app on the iPhone is pretty basic, but there are plenty of other great apps available for download.

Use the camera: There is a saying that "the best camera is the one you have with you." These days, the camera on your smartphone is probably better quality than the point-and-shoot digital you keep in a drawer somewhere.
